Senior Executive Administrative Assistant

Overview: We are seeking a dynamic, experienced and highly organized individual to join our team as the Executive Assistant to the CEO. The successful candidate will play a crucial role in supporting the CEO in day-to-day operations, ensuring seamless communication, and contributing to the overall efficiency and success of the executive office
Responsibilities:
- Calendar Management: Effectively manage and prioritize the CEO's calendar, scheduling meetings, appointments, and travel arrangements to optimize time and resources.
- Communication: Act as a primary point of contact between the CEO and internal/external stakeholders, handling correspondence, emails, and phone calls with professionalism and discretion.
- Documentation and Record-Keeping: Prepare, edit, and organize documents, reports, and presentations. Maintain accurate records and files to facilitate easy access to information.
- Meeting Coordination: Coordinate and organize executive meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
- Travel Arrangements: Make travel arrangements for the CEO and other executive staff, including booking flights, accommodations, and ground transportation as needed.
- Confidentiality: Handle confidential information with the utmost discretion and ensure a high level of confidentiality is maintained at all times.
- Project Support: Provide support and research on special projects, initiatives and events as directed by the CEO.
- Office Management: Assist in the day-to-day operations of the executive office, ensuring a well-organized and efficient work environment.
Skills/Experience Required:
- Proven experience as an executive assistant or similar role, preferably in a dynamic corporate environment.
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication skills.
- Proficient in MS Office Suite and other relevant software.
- Ability to handle sensitive information with discretion.
- High level of professionalism and attention to detail.
- Ability to handle a short deadline, fast paced environment and ability to respond outside of normal business hours.
Education/Experience:
- Bachelor's degree in Business Administration or related field, and/or significant previous experience in a similar executive support role.
